MINUTES OF THE ANNUAL GENERAL MEETING HELD AT COUNTRY CLUB LIMBE ON FRIDAY 23RD FEBRUARY 2007 AT 7.53 PM

The Chairman welcomed the members to the meeting and apologised for the delay in starting, which was due to waiting for members to obtain a quorum. He welcomed representatives from Toyota Malawi and Mr. Henry Mereka representing Malawi National Council of Sports.

CONFIRM MINUTES OF 2ND AGM HELD ON 24TH FEBRUARY 2006:

The minutes of the 2nd AGM held on 24th February 2006 were proposed by J. Sohal and seconded by X. Lithgow as a true record of proceedings.

CHAIRMANS REPORT:

The Chairman presented his report. There were no matters arising from his report.

TREASURERS REPORT:

The Treasurer presented his report.

J. Sohal enquired about the K50,000 shown on the Balance Sheet as Cash on Hand. the Treasurer advised that this was a cheque for sponsorship of prizes received after the year-end.

J. Sohal enquired about the Debtor (Steve Rees) of K8,000 shown on the Balance Sheet. The Chairman advised that this referred to his purchasing a SORAC flag at the Bowls Day held in June 2006 and also a SORAC blazer for S. Rees in December 2005 for the Lake Malawi International. The blazer was made and paid for by SORAC. S. Rees did not participate in the 2005 event and therefore bears the cost thereof.

J. Sohal enquired about the Fundraising Costs of K126,570 shown on the I & E Account. The Treasurer advised that this pertained to the bowls day. J. Sohal congratulated the Chairman and the Committee for their efforts in the fundraiser.

J. Sohal enquired about the Water Pump Chikwawa Clubhouse expenditure of K63,965 shown on the I & E Account. The Treasurer advised that this pertained to all the equipment for the special pump.

J. Sohal noted that the expenditure of "Chief" could have been recorded elsewhere in the accounts. This was noted.

The Treasurer summarised the accounts as follows: Total Income for the year K735,495.00 against K603,199.00 in 2005. Total Expenditure for the year K395,466 against K705,477.00 in 2005 (due to construction of the ablutions). Surplus of K340,029 for the year aginst a deficit of K102,248 in 2005. Cash in bank at year-end of K326,260. He advised that K12,000 shown for many years as "building fund" and "stock" of K7,000 had been written back into the accounts.

J. Balarin requested that as agreed at the last AGM elements in the accounts that related to ASOM to be shown in a separate column (to stand out). The Chairman responded that on page 2 of the accounts affiliation fees of K9,000 under the creditors was owed to ASOM. J. Balarin further stated that any funds raised under the name of ASOM should have a separate note pertaining to them. The Chairman noted this point.

R. Hay noted that there was a discrepancy between the accounts figure for the LMIT of K99,416 and what the Chairman had given him. R. Hay and the Treasurer to meet afterwards to attend to this issue.

The Chairman advised the members that in accordance with the constitution an audit of the accounts is not required and so long as all the members agree to the accounts they can be passed. J. Balarin noted that any member could inspect the accounts and query anything if they so wished. The Chairman asked Mr. Henry Mereka (MNCOS) if this was fine with MNCOS. He responded that he thought it was fine, but would revert back if not. The accounts were unanimously accepted. The Chairman thanked the Treasurer for all his efforts.

ELECTION OF OFFICE BEARERS:

The Secretary aided by Gary Brown (neutral) went through the nomination forms that had been received. Thereafter the Secretary read out the results of the election. The following were elected as Office Bearers for the year 2007/2008:

The Chairman congratulated all concerned and welcomed Craig Clow and Hilliard Cathcart-Kay onto the Committee. The Chairman thanked the outgoing Secretary for her efforts on the Committee.

THE MEETING WAS ADJOURNED FOR THE ASOM AGM
The SORAC AGM re-commenced at 21.33 hours.

The Chairman and Vice Chairman presented the prizes.

LEAGUE (Sponsored by Toppers):

The Chairman advised that apologies for non-attendance had been received from Mr. I. Lambat of Toppers. The Chairman advised that Mr. I. Lambat had agreed to continue sponsoring the league in 2007 as Pump Africa. On behalf of SORAC the Chairman thanked the sponsor, who also donated K30,000 towards the running of SORAC.

The Chairman noted that only two items of business had been lodged with the Secretary:

RATIFICATION OF ANGLING CALENDAR 2007:

The Chairman had emailed the proposed calendar for 2007 to the members. J. Balarin proposed that the 1st Leg of the Malawi Championships be moved from the 17th March 2007 to 17th November 2007. There was no objections to this proposal. The Malawi Championships would thus be held as follows:
1st Leg - 25th August 2007 at Bangula
2nd Leg - 6th October 2007 at Salima
3rd Leg - 3rd November 2007 at Salima
4th Leg - 17th November 2007 at Chikwawa

J. Sohal advised that he had a problem with the Malawi Championships being held at Bangula. He further suggested that the Malawi Championships be held separate from normal monthly competitions due to differences in start and finish times. The Chairman noted that the timing for the Malawi Championships and normal monthly competitions had been the same for the past few years.

A. Del Bufalo enquired as to how many anglers would fish at Bangula. The Chairman responded that plenty would do so.

J. Sohal pointed out that mainly the "youngsters" would camp at Bangula, but that others would have to travel and may not arrive in time to get directions for launching. A. Del Bufalo advised that he would require a hotel booking. Z. Surtee noted that it was good to venture into new fishing areas.

J. Sohal asked if the April competition could be brought forward as there was a gap of six weeks between the March and April competitions. The Chairman advised that this had been put to the sponsor, however, there was a major function on 21st April so it could not be brought forward.

The Chairman noted that aside from the change to the Malawi Championships the rest of the calendar would remain as is. This was agreed and the calendar was adopted.

J. Balarin proposed that from next year consideration be given to scheduling Malawi Championship events before March or after September so as to accommodate the Tobacco Industry personnel. This was adopted.

PROPOSED SPECIES TO BE FISHED IN 2007:

The Chairman had emailed the proposed species to be fished for in 2007 to the members. J. Sohal enquired as to why the Blunt Tooth Barbel was not on the list. The Chairman responded that none had been caught in the past few years. He pointed out that the list had been done taking into account the past six years scoresheets of what fish was brought out at weigh-in.

C. Clow enquired what would happen if any angler caught a minnow and thereafter a Blunttooth Barbel, would it only be recorded as one species?

B. Clow enquired as to the justification in limiting the number of species. The Chairman responded that it was to try and get control down at the river. A discussion on this issue took place and it was agreed that the Blunttooth Barbel be added to the list of species to be fished in 2007.

C. Clow enquired if for a species to count it must be at least the size stipulated. J. Balarin advised that this was the case, therefore the "one undersized fish for species tally" no longer applies. If however, the fish does not grow to the minimum size of 15cm it would count as a species. The Chairman advised that the January 2007 results would stand as this ratification was effecting from the February 2007 competition.

The SORAC species to be fished for 2007 was accepted by all members, with the amendment of the inclusion of the Blunttooth Barbel.

The Chairman thanked all those present for their attendance and wished everyone tight lines and a great year ahead.
